Regional Teaching Protocols

Our presenters and speakers dedicate significant time to preparing and delivering teaching to support resident doctors' learning. Sessions may be delivered face-to-face, virtually, or in a hybrid format. Expectations for professional behaviour and participation are the same for all formats.

Event Attendance Policy

Before registering, please ensure you have secured the necessary study leave. If you register for an event, it is essential that you attend. If you are unable to attend, please cancel your registration at least 48 hours in advance by notifying HEIW.Secondarycare@wales.nhs.uk as some events have limited spaces and your place could then be reallocated to another participant.

Etiquette & Behaviour

  • Be punctual
  • Be prepared
  • Remove distractions
  • Avoid multitasking
  • Listen attentively
  • Participate thoughtfully
  • Be respectful
  • Ask follow-up questions appropriately
  • Complete the post-training evaluation form — your feedback supports improvement

When Joining Virtually

Before the session:

  • Download and test the Microsoft Teams app.
  • Check your camera and microphone work.
  • Make sure you are using a supported and updated device/app.
  • Join using your full name.

During the session:

  • Choose a quiet, distraction-free space (home office/seminar room).
  • Keep your camera on where possible — it helps engagement.
  • Keep your microphone muted unless speaking.
  • Use Raise Hand or the chat to ask questions*.
  • Be mindful of your surroundings and behaviour while your camera is on.

* While the presenter is sharing their screen, they may not be able to view these but there is usually an opportunity to ask questions at the end of the presentation.

Recording

Most virtual or hybrid teaching sessions will be recorded and shared on Y Ty Dysgu with resident doctors in the training programme. It is assumed that participants consent to recording and sharing, unless you inform us otherwise in advance.
